How to Keep Tattoo Client Records Organized
The short answer
Give every client one file, give every tattoo its own folder inside that file, and keep paperwork, photos and notes together. Sort clients by stage — Upcoming, Active and Past — so today's work is easy to find.
One file per client
Contact details, consent forms, ID check and private notes all belong in a single file. When a returning client books, everything is already there.
One folder per tattoo
Multi-session pieces and returning clients get messy fast. A folder per tattoo keeps session photos, healed photos, quotes and deposits for that piece together.
Treat health info and photos carefully
Health answers and photos of private body areas are sensitive. Only collect what you need, get the client's consent first, keep them out of your public portfolio unless the client agrees, and delete what you no longer need.
Back up and export
Whatever system you use, make sure you can export your records. In InkEthos, Export & Backups downloads your data whenever you want.
